No date is secured without a $250 NON REFUNDABLE deposit and signed agreement. All contracts must be signed by an adult 18 years of age or older.
Do you require a deposit?
Yes, we require a $250.00 NON REFUNDABLE booking deposit to secure your event. NO DATE IS SECURE WITHOUT A PAID DEPOSIT AND SIGNED RENTAL AGREEMENT, AVAILABLE DATES ARE FIRST COME SERVE. Events that are booked less than 14 days in advance, must be paid in full. For events booked with future dates, balance must be collected 7 days prior to event. Once your event date and time are chosen The Whitebox Event Space will confirm availability and then email you the venue rental contract. All signatures and payments are collected electronically.
There is a $250 REFUNDABLE incidental retainer fee applied to EVERY EVENT. (Refundable assuming no damages or contract violations, AND GUESTS AND ALL ITEMS ARE REMOVED FROM THE VENUE BY END TIME) this retainer fee is added to your final payment of the contract and will be itemized on your invoice with the costs of your booking.
You must be 21 years of age to book! Valid ID required.
How many guests does your venue accommodate?
Guest count depends on your setup. Our space can accommodate parties of 64 guests for a traditional dinner style events, and 125 for standing events.
Can I choose any time to have my event?
Yes, we are available Sunday- Saturday, 9am-10pm. ( weekend bookings can be extended past 10pm. Anyone requesting to extend their event hours past 10:00pm (12:00am at the latest) will incur an after-hours fee of $250.00 an hour, this fee must be paid prior to the event start time.
**Your access to the venue begins at the start time of the time you booked and paid for. For example, if your booking is from 7pm-10pm. You would gain access to the venue at 7pm. You may purchase additional hours if the time is available with proper notice. Additional hours may be added ONLY at the time of booking. We do not add additional hours the day of or the day before the event.
Is there a minimum amount of hours required for booking?
There is a 4hr minimum booking. This requirement is to ensure that you and your guests don't feel rushed and are able to enjoy and get the full experience of your special event. This includes the time you will need to decorate, setup, enjoy your event, and have venue cleaned up and ready to vacate at the end of your booking time.
What items are prohibited?
No open flames (food warmers are ok) no rice, fireworks, or glitter please. Items that require hanging/mounting may not be drilled, stapled, or hammered. The use of tapes that will damage the property in anyway are prohibited. There is a zero drug and no smoking policy while inside of the venue which includes the use of vapes and e-cigarettes, cigarettes, or drugs of any kind. Violations will forfeit incidental fee.
Can I bring my own food?
Yes. The Whitebox Event Space does not provide any food or beverages. You are welcomed to bring your own cooked food as all events are private events. Licensed and insured caterers are also welcomed to bring food for your event. We ask that food be cooked prior arriving onsite. No onsite cooking is allowed, but warmers are ok.
What is the cancellation policy?
All bookings that require upfront in full payments are final. For all other events, once booked there is no refund of deposit monies upon cancellation or rescheduling, but any payments made in excess to deposit are fully refundable if cancellation is requested at least 10 days prior to your scheduled event.
What is included in the hourly space rental?
All rentals include our folding chairs, round tables, rectangle tables, white or black table linen, access to the bar area, access to our wireless bluetooth sound system, white lighting and TV display. Additional upgrade items are available for rent such as a 360 photobooth, special color lighting, chair covers ( black or white), popcorn machine, and projector rental. Speak with your event manager for assistance with adding these items to your event.
Cleaning:
Guests/customers of The Whitebox Event Space are responsible for clearing tables and placing refuse (paper, cans, glass, décor, etc.) in provided garbage bags/cans. The guests/customer is not responsible for taking refuse outside to dumpster, sweeping, mopping, or vacuuming the room. This will be done by us.
Intoxicants:
Alcohol may only be consumed by guest age 21 and older. Alcohol can NOT sold under any circumstances. Alcohol is not allowed at parties and/or events for people under 21 years of age.
